Terms & Conditions

These Terms & Conditions describe the agreement between Serengeti Steppe ("we", "us", "our") and the client ("you", "your"). By requesting a proposal or confirming a booking you accept these terms. If you have questions, please contact us before proceeding.

1. Booking & Confirmation

A booking is confirmed only when we have received the required deposit and issued a written confirmation to you. Once confirmed, we will secure accommodations, vehicles, park permits and other supplier services on your behalf.

  • Deposit: A 30% deposit is required to secure reservations and enable necessary procurements.
  • Confirmation: After payment and acceptance of these terms we will send a booking confirmation and invoice to your email.
  • Full payment deadlines: The remaining balance is due no later than 30 days before the trip start date. Bookings made within 30 days of departure require full payment at the time of booking.

3. Cancellations & Refunds

We understand plans change. Cancellations must be notified in writing. Refunds and fees depend on timing and supplier policies — the earlier you tell us, the better we can assist.

  • More than 60 days before departure: Deposit refundable less a small administrative fee, subject to supplier terms.
  • 30–59 days before departure: 50% of the total trip cost is forfeited.
  • Less than 30 days before departure: 100% of the total trip cost is forfeited.
  • Supplier charges: Some refunds are subject to third-party supplier fees (lodges, airlines, parks). We will pass on exact supplier terms where applicable.

4. Changes to Bookings

Changes requested after confirmation will be handled promptly, but may be subject to availability and additional costs. This includes changes to travel dates, accommodation category, number of travelers, or itinerary components.

  • Amendment fees: Where suppliers charge for amendments, these fees will be passed on to you.
  • Availability: We will use our best efforts to accommodate requests but cannot guarantee availability for the same price or exact services.

5. Travel Insurance

Comprehensive travel insurance is strongly recommended and in some cases required. Your policy should cover trip cancellation, medical expenses (including emergency evacuation), personal accident, and loss or theft of belongings.

  • Responsibility: It is your responsibility to obtain suitable insurance before travel; we accept no liability for costs incurred that would have been covered by insurance.

6. Health & Safety

Health and safety are central to every itinerary we plan. You must ensure that you meet all vaccination, entry, and health requirements for travel to Tanzania and any third-party destinations included in your itinerary.

  • Medical advice: Consult your healthcare provider or travel clinic well in advance of travel for up-to-date vaccination and malaria prevention advice.
  • Disclosure: Disclose any medical conditions, mobility limitations, or special assistance needs at the time of booking so we can advise on suitability and make appropriate arrangements.

7. Responsibilities & Liability

Serengeti Steppe acts as an agent for hotels, transport operators, park authorities, and other suppliers. While we carefully select partners and manage arrangements, we cannot accept liability for the acts or omissions of third-party suppliers.

  • Limitations: We are not liable for loss, injury, delay or damage arising from force majeure events (including extreme weather, natural disasters, political unrest, strikes, or airline schedule changes).
  • Practical liability cap: Where liability is established, our liability will be limited to amounts recoverable from the relevant suppliers and to the extent permitted by applicable law.
  • Claims: Any claim must be notified to us immediately and in writing, and we will assist with supplier claims where possible.

8. Wildlife & Cultural Etiquette

Respect for wildlife and local communities is essential. Our guides will brief you on responsible behaviour; please follow their instructions at all times to ensure the safety and welfare of animals and people.

  • Wildlife viewing: Maintain safe distances, avoid sudden movements, and never attempt to feed or touch wild animals.
  • Local customs: Dress modestly in rural and cultural sites, ask permission before photographing people, and respect private property and sacred places.
  • Environmental care: Dispose of waste responsibly and follow park rules to minimise your footprint.
